Signatures
Automated eSignatures, built into your IP workflow
AppColl®'s Signatures module automates the process of getting signatures on documents that are part of the IP management processes.
Although specifically designed for collecting signatures for inventor assignments and declarations, it can also be used to manage any other documents that are commonly signed, such as client engagement letters.
The Signatures module integrates with DocuSign and Adobe Acrobat Sign, using your existing accounts, to perform the actual electronic signature process.
Available in PM Plus and PM Corporate
Choose your eSignature provider
DocuSign and Adobe Acrobat Sign can be active at the same time, and you choose which provider handles each envelope.

DocuSign
Connect your existing DocuSign account from the Signatures tab in Settings. Send templates already in your DocuSign account instead of AppColl form letters, and require recipients to draw their signature rather than type it.

Adobe Sign
Connect your existing Adobe Sign account the same way. AppColl is notified of status changes automatically and receives the completed documents when signing is done.

AppColl by email
No eSignature account? AppColl sends the document directly to the recipient to sign, scan and return by email. A special reply address identifies the document so it is stored in the correct place.
How it works
1
Rules create the envelope
Signature Rules set which documents, sender and recipients go into an envelope, and when. For example, generate an inventor assignment whenever a US utility patent is filed, or an engagement letter whenever a new client contact is added.
2
Sent for signature
Send envelopes the moment a rule triggers, or review them first and send from the Signatures module. Email subjects and bodies can include form fields from the matter, task or contact.
3
Tracked and stored
AppColl tracks every envelope's status and files the signed document automatically. Create reports to see which signatures have not been collected.
Signatures Features
Simplicity
AppColl integrates with DocuSign and Adobe Acrobat Sign allowing for the easy collection and management of e-signatures.
Automation
The process of sending documents out for signature, reminding the document recipients that their signature is required, and storing the signed document can be completely automated.
Customizable
Documents are generated for signature based on a set of rules which contain the conditions for creating a document. Create custom rules for your documents.
Seamless Storage
Keep your documents organized and secure. AppColl seamlessly stores signed documents, making retrieval and management a hassle-free experience.
More ways to build an envelope
USPTO declaration forms
Send USPTO Forms AIA/01, AIA/03 and AIA/08 for signature with no setup. The forms already contain the necessary signature blocks.
Your own form letters
Build signable documents the same way as any AppColl form letter, in DOCX, RTF or TXT. Signature fields mark where to sign and date.
Multiple recipients and documents
Put several documents and recipients in one envelope to reduce the number of envelopes your eSignature provider processes.
Signing order
Have recipients sign one after another in a set order, or all at the same time. Matter inventors sign in the order they appear in the matter.
Reference attachments
Include unsigned documents alongside the ones that need signing, such as a copy of the filed patent sent with the inventor's assignment.
Conditional documents
Include a document only when a condition is met. For example, send inventors a different assignment based on their country of residence.
Manage from the matter
Add, send, cancel and delete envelopes from the Signatures tab on the matter details page, with signing status for every inventor on the matter.
Regenerate after rule changes
Regenerate envelopes for one matter or many when your rules change. AppColl replaces unsent envelopes and never creates duplicates.
